Registration
REGISTRATION CRITERIA
To keep the conference conducive to formal and informal scientific and collaborative exchange and in response to survey results from the previous conferences, the Scientific Program Committee has agreed to limit the size of the conference. Based upon space considerations, the meeting can accommodate 4,000 registrants.
Registration will be limited to researchers actively participating as investigators in basic science or clinical studies of retroviral diseases and their complications and clinician-teachers (full-time academic faculty members responsible for HIV/AIDS training and research programs). Preference will be accorded to doctoral and professional degree level researchers/clinicians.
In addition, a limited number of slots have been reserved for press and AIDS community educators (click on either the Media or Scholarships links for information on these special categories).
In keeping with the space constraints of the venue, individuals employed in the following categories are not eligible for registration:
- financial analysts
- venture capitalists
- public relations firms
- medical communications companies
- tour groups or other similar groups whose attendance or travel is sponsored by industry
- personnel within pharmaceutical companies, clinical research organizations (CROs), clinical research consultant firms, or other clinical research networks or entities whose primary roles and responsibilities are the following:
- administration
- non-directorship level personnel in clinical or product development (with the exception of those who are authors on accepted abstracts)
- marketing
- marketing or post-marketing outcomes research (with the exception of those who are authors on accepted abstracts)
- medical affairs
- medical/scientific liaison
- professional relations
- project or product management
- regulatory affairs
- strategic planning
- clinical research associates or other clinical research organization personnel with supportive or administrative roles in clinical trials; staff from CROs and consultants to pharmaceutical companies are eligible to register only when they are actively involved in research that is being presented at the conference (i.e., listed as authors on abstracts)
The Conference Secretariat reserves the right to disapprove or rescind the registration/housing of any individual who does not meet the criteria set forth by the Scientific Program Committee.
Individuals who are ineligible to register will have access to webcasts of plenary, symposia, oral abstract and themed discussion sessions and the abstracts and posters via the website.
REGISTRATION DEADLINES
Registration and housing preference will be given to invited faculty, abstract authors with accepted abstracts (if their email addresses were provided during the abstract submission process-if not authors must wait until the opening of general registration at 10 am ET on December 6) and scholarship awardees and will be open only to these individuals at 10 am ET on November 28.
Researchers and clinicians who are not invited faculty or authors with accepted abstracts will be able to register starting at 10 am ET on December 6. These registration applications will be reviewed to ensure they meet the registration criteria and then will be processed on a first-come, first served basis on or after December 6. Upon notification by email that the criteria have been met, those individuals will be able to complete their registration by a secure link to complete housing.
Please note: because of the significant number of requests received as soon as registration opens, applications are processed every 24 hours. All applications received by 3 am ET each morning will be reviewed at the same time.
Registration and housing will close on February 3 or when the registration limit of 4,000 is reached, whichever occurs first. PLEASE NOTE: the DEADLINE has been EXTENDED to February 8.
There will be no onsite registration.
DEPOSITS AND CONFERENCE FEES
The registration fee for the 19th Conference on Retroviruses and Opportunistic Infections is $695. You may provide a credit card or check made payable to CROI.
In addition, each individual housing reservation must be guaranteed with a major credit card or check in the amount of the first night’s room and tax. If providing a check, it should be made payable to the assigned hotel in the amount of first night’s room and tax (see Hotel Guarantee Policy below).
MULTIPLE RESERVATIONS
Only one reservation is permitted per conference registrant.
No travel agents or tour groups are permitted to use our registration site to secure multiple reservations. As registration and housing are integrated functions, any discrepancies/duplications in records will be identified and you will be notified accordingly.
CONFIRMATIONS
Confirmations will be sent via email following the successful completion of the registration process. Registration applications will be processed within 10-12 business days of submission.
Although registration and housing functions are integrated, confirmations for each will be issued separately.
SUBSTITUTION POLICY
Due to the meeting's limited attendance, at no time will registration substitutions (e.g., name changes) be allowable. This policy will be strictly enforced in order to maintain equal access for all participants. Registrants will be asked to provide photo identification when picking up registration materials onsite.
CANCELLATION POLICY
Cancellations must be made in writing (by mail, email, or fax- listed below) to CROI Registration & Housing. Advance registration fees (less a 50% processing charge) will be refunded provided a request is submitted in writing by February 3.
REGISTRATION MATERIALS
All registered meeting attendees will be issued a meeting badge when they pick up their registration materials (Pocket Program, Program & Abstracts, etc) onsite. Please note: attendees are required to provide a photo id to receive their badge and other materials.
